Real Estate outsourcing, answered directly.

Common questions about outsourcing real estate support.

Our agents answer property inquiries using your listing data, qualify leads against questions you define, book showings and consultations, take maintenance requests, and handle routine tenant and owner communication. Negotiating price or terms, advising on value, drafting or explaining contracts, and anything else that requires a real estate license stays with your licensed people. What an unlicensed assistant may do varies by state, so confirm the boundary with your broker and counsel. We then write it into the script so callers are handed to a licensee at the right point.

Agents are trained to give factual listing information only: price, size, features, availability, showing times, and application steps. They do not offer opinions about neighborhoods, schools, safety, or who lives in an area, and they do not suggest or discourage properties based on anything about the caller. If a caller asks that kind of question, the scripted response points them to public sources and offers to book a showing. Every caller gets the same qualification questions in the same order. Fair housing obligations remain yours, so have your broker or counsel review the scripts.

Speed matters with property leads, so inquiries from your website, portals, and phone line are answered or called back promptly within the hours you choose. The agent confirms which property or service prompted the inquiry, asks your qualification questions, such as timeline, financing status, or rental move-in date, and books the showing or consultation directly into your calendar. Notes go into your CRM so the licensed agent arrives prepared. Leads that do not meet your criteria are tagged and handled the way you specify, not discarded.

Yes. After-hours tenant contact is a common starting point for real estate and property management clients. Agents log routine requests with the unit, problem, access instructions, and photos if your system accepts them, then create the work order for the next business day. For urgent problems you define in advance, such as flooding, no heat, or a lockout, they follow your call-out list until someone responds. Tenants reporting fire, a gas smell, or danger to life are told to call 911 first. Spending approval and vendor selection remain with your property manager.

Typically your CRM, shared calendars or a showing scheduler, your listing data as you are permitted to share it, and for property management a platform such as AppFolio, Buildium, or Yardi. These are examples of your systems; we work in whatever you use. Access is role-based and limited to the task, so an agent can book a showing or open a work order without seeing owner financials or tenant screening reports. Check your MLS and software license terms before granting access to an outside team.

Real estate files contain identification, income details, bank information, and lease records, so we keep agent access to the minimum the task needs. Work happens inside your systems under logins you control, and we apply controlled access, confidentiality practices, and role-based workflows. Agents do not accept identification or income documents by email or text; they direct applicants to your secure portal. If rent or fees are paid by card over the phone, PCI DSS governs that cardholder data. Data handling terms are agreed in the contract during scoping.

Listen to how the provider talks about scripts. A good one will ask how you want steering questions handled, where the licensed handoff happens, and what counts as an emergency maintenance call. Ask how listing changes reach agents, how quickly new leads are contacted, and what reporting you will receive on inquiries, booked appointments, and unresolved requests. Ask who your project manager is. A short pilot on one line, such as after-hours tenant calls or overflow lead response, tells you more than a proposal.

It is the wrong move if your business depends on a small number of high-value relationships where clients expect to reach their own agent every time. It also fails when listing data and calendars are not kept current, because outsourced agents can only be as accurate as the information they see. If inquiry volume is low enough that you answer every call comfortably, the setup effort may not be worth it. Outsourcing fits brokerages, teams, and property managers whose missed calls, slow lead response, or after-hours maintenance load are costing them business.
