Travel and Hospitality outsourcing, answered directly.

Common questions about outsourcing travel and hospitality support.

Agents take booking calls, chats, and emails, answer questions about rooms, packages, tours, and policies, make and modify reservations, process cancellations under your rules, and handle loyalty account questions. Your team keeps rate strategy, inventory decisions, group contracts, policy exceptions above an agreed limit, and anything happening on site, such as a guest standing at the front desk with a problem. Agents follow the rate and cancellation rules you publish and escalate requests that fall outside them. The split is documented by your project manager before launch so nobody improvises during a busy check-in weekend.

Yes. Agents work in the client's own systems, for example a property management system, central reservation system, tour booking platform, or agency back office, using individual logins limited to what the role needs. During setup your project manager documents how bookings are created, changed, and cancelled in your system, including deposit rules and room or departure types, and trains agents on that flow. If you would like to limit access at first, agents can start with read-only lookup and message taking, then move to full booking once you are comfortable. Access is agreed during scoping.

Card data is governed by PCI DSS, and the simplest approach is to keep agents away from it. Ask any provider how cards are captured: whether the guest enters the number through a secure payment link or keypad entry so the agent never hears it, whether call recordings exclude that segment, and whether card numbers can ever be typed into notes or chat. We agree the payment flow with you during scoping and build it around your payment processor and booking system. Agents are trained never to accept card details by email or social message.

Travel and hospitality demand moves with school holidays, events, booking windows, and weather, so a fixed team is either stretched or idle. During scoping we review your booking and contact patterns and plan a base team plus added capacity for known peaks. Agents for peak periods are trained ahead of time, not during the rush. For unplanned surges, such as a storm that forces mass cancellations, we agree in advance what agents may offer, such as rebooking or credit under your policy, so they can resolve contacts without waiting for approval on each one.

For feedback, agents contact guests who left a low score or a complaint, listen, record the details, and apply the recovery options you have authorized. Anything beyond that goes to your guest relations lead with notes. For social channels, agents monitor comments and messages, reply to routine questions in your brand voice, hide or flag content under your moderation rules, and move booking or complaint conversations into private channels. Public replies to sensitive issues, such as a safety incident or press attention, are escalated to your team and are not answered by an agent.

Loyalty work is mostly account service: explaining tiers and benefits, fixing missing stays or points, updating profiles, and helping members redeem. Agents handle that from your program rules and within the adjustment limits you set. Win-back outreach targets past guests or lapsed members with an offer you define. You supply the list and confirm consent for calls or texts, since the TCPA covers autodialed and prerecorded calls and texts. Agents log outcomes and opt-outs in your CRM so your marketing team sees what worked and your suppression lists stay accurate.

Ask whether agents book directly in your reservation system or only pass messages. Ask how rate rules, cancellation policies, and packages are taught and kept current as they change by season. Ask how card payments are taken and what the agent can see. Ask what happens at night in the destination's time zone, when a traveler is stranded and your office is closed. Ask how peak staffing is planned and when those agents are trained. Ask who manages the program day to day. With us, a project manager maps your process and the reporting rhythm is agreed before launch.

A small property or boutique agency whose owner answers the phone, knows repeat guests by name, and sells on that personal knowledge will usually lose something by handing calls to an outside team. Outsourcing is also a poor fit for highly customized itineraries where each booking is a consultative sale built on destination expertise. And it will disappoint if rates and policies live in people's heads and not in a system agents can read. A middle path is to keep daytime sales in house and use outside agents only for after-hours calls and overflow.
